WHAT IS PACE? Program Administration for Cooperative Extension
PACE is the system used to track Master Gardener hours and certifications.
LOGIN Information
On the Jefferson County Cooperative Extension web page, https://jefferson.ca.uky.edu Click on Horticulture (Poinsettia photo). Look for Jefferson County Master Gardeners, Click on PACE. Sign up as a New User if this is your first time.

Quarterly Deadlines
March 31 for checking system
June 30 for Extension Fiscal Year End Reporting
September 30 for Annual Awards
December 31 for Certification/Recertification

Interns & Transferees
30 hours Hands-On/Client Education (use Volunteer Hours category)
10 hours Continuing Education (use Education Hours Category)
MG Recertification
20 hours Hands-On/Client Education (use Volunteer Hours category)
10 hours Continuing Education (use Education Hours Category)
Entering Volunteer Hours
Select the Volunteer Hours tab
Use the up-down arrows to sort by date
Note that you can change the number of entries that are displayed
Select the Add More Volunteer Hours button
Select a project from the dropdown box. Project not on the list? You can type it
in. (For committee/board meetings choose: JCMGA Committees & Board)
In Tasks briefly tell what you did. If you get an error message, shorten the description.
Complete the required information. Some will be pre-filled but can be changed as needed.
Use Activity Code- Client Educational Hours when you are teaching someone or preparing a presentation for a class.
Use Activity Code - Leadership for Tasks that don’t fit Hands-On or Client
Education (i.e. committee or board meetings)
Include contacts unless someone is already collecting for an event.
Project Information
Combine all project hours into one entry and record at least quarterly when possible.
Using standard project names enables statistics to be collected by project. If you
would like to know how many hours have been reported for a particular project,
send a request to Pace@jcmgaky.org .
Rule - Projects must be approved – must be on JCMGA Approved Projects list or
okayed by JCES MG Coordinator. Written requests for new projects should be submitted to
the JCMGA Board.
Entering Education Hours
Record your continuing education hours here (classes you attend).
For monthly meeting continuing education classes, the Training Organization
would be JCMGA and the Class Name would be the topic that was presented.
Rule - You can only record classes approved by JCMGA or JCES Coordinator.
What to Enter
Enter all hours, not just the minimum required
Can include a reasonable amount of travel time with Volunteer Hours (Hands-On or Client Education Hours) only
Rule – At least two-thirds of your required volunteer hours must be worked in Jefferson County.

Tips
Write down your password. If you forget your password, use “Forgot Your
Password” link on the Login page and follow the instructions.
Update your Profile information as needed, including email address and phone type.
Reporting Statistics
Vice President(s) will collect and report statistics for large Public events
Projects should include statistics as needed
Mobile Devices
Functionality may be limited on mobile devices which includes smart phones and
tablets. The mobile version is designed for quick entry of volunteer hours.
Dropdown box for projects may not be working on iPads.
Calendar on mobile app displays intermittently
How to Report Problems?
Gather as much information as you can about the problem you are having. Take
a screen shot, write down any error messages, etc.
